30 WhatsApp Business Quick Reply Templates
30 copy-paste WhatsApp Business quick reply templates with their shortcut names, in English and BM, plus the naming system that keeps 50 slots usable.
Search for a WhatsApp Business quick reply template and you get the same global lists: 21 here, 50 there, all built around "our business hours are Monday to Friday" and "we accept UPI and net banking". None of them speak Bahasa Malaysia, none mention Waze, DuitNow or COD in the Klang Valley, and none give you the part that actually decides whether the feature gets used: the shortcut names. Here is our position after watching how MSME teams actually type: the 50-slot limit is not your problem. A list with no naming system is, because nobody can remember 50 shortcuts and the feature quietly dies at six.
This is a copy-paste library of 30 WhatsApp Business quick reply templates, each with its slash shortcut, in English and Bahasa Malaysia, covering price, location, payment, booking, order status, objections, PDPA and festive chats. Two rules hold the whole library together: every shortcut starts with a prefix that says what the customer asked, and every reply ends with the next step, because a quick reply that only answers the question ends the conversation.
One boundary before the samples. Quick replies are the messages a person on your team fires with a slash while they are live in the chat. They are not the greeting or away message that sends by itself, and they are not the approved template messages you send from the API. We keep a separate library of auto reply message samples for the automatic side, and a broader set of WhatsApp message templates that get replies for outbound follow-up. This post is only the slash.
What is a WhatsApp Business quick reply, and how is it different from an auto reply?
A quick reply is a saved message with a shortcut. You type a forward slash in any chat, pick the saved message, and send it, usually in under two seconds. The WhatsApp Business app lets you store up to 50 of them (WhatsApp Help Center), and text quick replies sync to your linked devices, so the person on WhatsApp Web sees the same list as the person on the phone.
An auto reply fires on its own when a customer messages you first or outside your hours. A quick reply never sends unless a human types the slash. That difference decides how each one should be written. An auto reply has to ask a question, because nobody is there to continue. A quick reply is sent by someone who is there, so its job is to answer fast and hand the customer the next action.
| Quick reply | Auto reply | API template message | |
|---|---|---|---|
| Who sends it | A person, by typing / | The app, automatically | Your software, to opt-in contacts |
| When | Mid-conversation | First contact or after hours | Outbound, outside the 24-hour window |
| Approval needed | None | None | Meta reviews the template |
| Storage limit | 50 per number | 1 greeting + 1 away | Hundreds, per WhatsApp Business Account |
| Best job | Answer plus next step | Acknowledge plus one question | Reminders, updates, campaigns |
How should you name quick reply shortcuts so the team actually uses them?
Name every shortcut by the question the customer asked, not by the answer you give. The person typing is reading the customer's message, so the shortcut should match what they just read: the customer asks "how much", the shortcut starts with /p. Shortcuts cannot contain spaces, so use a hyphen after the prefix and keep the whole thing short enough to type without looking.
Here is the prefix system every sample below follows. It fits on one sticky note, which is the whole point.
The second rule is the counterintuitive one. Most quick reply lists are written as answers: here are our hours, here is our address, here is our price. An answer with no next step ends the chat, and the customer who got a fast, complete, polite answer then goes quiet. Every template below finishes with something the customer can do in one tap: a Waze link, a date to pick, a slot to confirm, a reply to send. Fast is only half the job.
Store the BM version as a separate shortcut with a -bm suffix, so /p-list and /p-list-bm sit side by side. Your team will pick the right one faster than they can translate.
Price and quotation quick replies (/p-)
Price is the first question in almost every Malaysian enquiry, and "PM for price" is where most of them die. These replies give a real range, then move to the one detail that changes the number.
1. /p-list (EN)
Here's our full price list (attached). Most customers start with the [package name] at RM[X]. Which one are you looking at? I can confirm availability for this week.2. /p-list-bm (BM)
/p-range (EN)
For [service], the range is RM[X] to RM[Y] depending on [size/area/material]. If you share [the one detail], I'll send you an exact figure within the hour.4. /p-range-bm (BM)
/p-quote (EN)
Your quote is attached. It's valid until [date] and includes [what's included]. Two ways to lock it in: reply CONFIRM here, or pay the RM[X] deposit with the link below and I'll block the slot today.6. /p-promo (EN)
Good timing. Until [date] the [package] is RM[promo price] instead of RM[normal price]. It applies to bookings confirmed before then, not to the service date. Want me to hold one at the promo rate?Location, hours and directions quick replies (/l-)
Directions are a solved problem in Malaysia: send the Waze pin. The reply should also tell the customer whether coming in is even necessary, because a lot of "where are you" messages are really "do I have to go there".
7. /l-waze (EN)
We're at [address]. Waze: [link]. Parking is [where]. Are you coming today? Tell me a rough time and I'll make sure someone is ready for you.8. /l-waze-bm (BM)
Kami di [alamat]. Waze: [pautan]. Parkir di [lokasi]. Anda datang hari ini? Bagitahu anggaran masa, saya pastikan ada orang sedia melayan anda.9. /l-hours (EN)
We're open [days], [time] to [time], closed [day]. On Fridays we break from 1pm to 2:30pm. If you'd rather not come in, we can settle most things right here on WhatsApp. What do you need help with?10. /l-area (EN)
Yes, we cover [area list]. For [your area], the earliest visit is [day]. Do you want the morning or afternoon slot?Payment quick replies: bank transfer, DuitNow, COD, deposit (/pay-)
Every payment reply carries the exact details and the one line that stops the follow-up question ("send me the receipt"). Keep your bank details in one shortcut so nobody types an account number from memory.
11. /pay-bank (EN)
Bank transfer details:
[Bank name] [account number]
Name: [company name]
DuitNow ID: [ID]
Once done, send the receipt screenshot here and I'll confirm within 10 minutes during business hours.12. /pay-bank-bm (BM)
Butiran pemindahan bank:
[Nama bank] [nombor akaun]
Nama: [nama syarikat]
ID DuitNow: [ID]
/pay-cod (EN)
Cash on delivery is available for [area list] on orders of RM[X] and above. Please prepare the exact amount; our rider doesn't carry change. Confirm your address and I'll schedule the delivery.14. /pay-deposit (EN)
To lock the slot we take a RM[X] deposit, deducted from the final bill. It's refundable if you cancel [X] days before. Pay via the link or bank transfer above, then send the receipt and your slot is confirmed.15. /pay-received (EN)
Payment received, thank you! Your [order/booking] is confirmed for [date/time]. Reference: [number]. I'll message you the day before with a reminder. Anything you'd like to add before then?16. /pay-received-bm (BM)
Bayaran diterima, terima kasih! [Pesanan/tempahan] anda disahkan untuk [tarikh/masa]. Rujukan: [nombor]. Saya akan hantar peringatan sehari sebelum. Ada apa-apa yang ingin ditambah?Booking and confirmation quick replies (/b-)
Booking replies offer two slots, never an open question. "When are you free?" produces a three-day back-and-forth; "Tuesday 10am or Thursday 3pm?" produces a booking.
17. /b-slots (EN)
I have [day] at [time] or [day] at [time] this week. Which works better? Reply with the day and I'll block it for you right away.18. /b-slots-bm (BM)
/b-confirm (EN)
Confirmed: [service] on [day, date] at [time] at [location]. Please arrive 10 minutes early and bring [item]. If anything changes, message me here and we'll move it, no charge.20. /b-move (EN)
No problem, let's move it. The next openings are [day] [time] or [day] [time]. Which one? Your deposit carries over.Order status and delivery quick replies (/o-)
Status replies stop the "any update?" loop. Give the stage, the next date, and what the customer should do if that date passes.
21. /o-status (EN)
Quick update: your order [number] is at the [packing/production/dispatch] stage and is on track for [date]. I'll send the tracking number the moment it ships. Nothing needed from you for now.22. /o-status-bm (BM)
Saya hantar nombor penjejakan sebaik sahaja dihantar.23. /o-track (EN)
Shipped! Tracking number: [number] via [courier]. It usually takes [X] working days to [area]. If it hasn't arrived by [date], message me here and I'll chase it for you.Objection and stall quick replies (/x-)
These are the shortcuts nobody saves and everybody needs. "Let me think about it" and "too expensive" arrive dozens of times a week, and the reply typed under pressure is usually either a discount or silence. Save the calm version.
24. /x-expensive (EN)
Understood. The RM[X] covers [the two or three things that justify it], which is where cheaper options usually cut. If budget is the main concern, the [smaller package] at RM[Y] gets you [core outcome]. Want me to price that instead?25. /x-expensive-bm (BM)
Faham. /x-think (EN)
Of course, take your time. So I can hold the slot without pressuring you: I'll keep [date/time] reserved until [day]. If I don't hear back by then I'll release it, and you can always message me later. Sound fair?27. /x-pm (EN)
Happy to share pricing openly: [package] is RM[X]. No hidden charges. The only thing that changes the price is [detail], so let me know that and I'll confirm your exact figure. The PDPA quick reply (/pdpa)
Nobody has knocked on most Malaysian SMEs' doors about PDPA yet, and from what we have seen, most owners have not had the time or the reason to think about it. That is exactly why a one-line quick reply is worth saving: it is the cheapest possible step to take before that changes. We cover the practical side in PDPA compliance for WhatsApp marketing in Malaysia; the line itself is below.
28. /pdpa (EN + BM in one message)
Just so you know: we keep your name and number to handle this enquiry and to send you updates about your order or booking. Reply STOP anytime and we'll remove you.
Festive quick replies for live chats (/f-)
Your away message already handles the closure notice. These are for the conversations still running in the week before a festival, where the real question is the cut-off date.
29. /f-raya-bm (BM)
Nak saya masukkan pesanan anda sebelum tarikh tutup?30. /f-cny (EN) and /f-deepavali (EN)
Happy Chinese New Year from the team at [company name]! Last orders before the break go out on [date], and we reopen on [date]. Want me to lock yours in before the cut-off?Happy Deepavali from all of us at [company name]! Last orders before the holiday ship on [date], and we're back on [date]. Shall I add yours before the cut-off?Frequently Asked Questions
When do quick replies stop being enough?
Quick replies stop being enough the day two people send /p-list to the same customer with two different price lists. The text syncs across your linked devices; what does not sync is any idea of who owns the chat. A five-person team can all see the message, all type the slash, and all assume someone else already did.
That failure is not hypothetical. In the agency sales operations we have worked inside, teams of 20 or more agents sharing lead pools, roughly three in ten dead leads had been assigned to someone who simply never acted on them, and nothing in the setup made that visible. Quick replies make the typing faster; they do nothing about the lead that nobody typed to. We wrote up the full breakdown of why one WhatsApp number breaks at three or four users if that sounds familiar.
Here is the honest version of the upgrade path. A one-person operation, or a two-person shop where one person owns the phone, will get real mileage out of these 30 templates for a long time. The signal that you have outgrown them is when your team keeps a separate WhatsApp group to ask "did anyone reply to this?" At that point the fix is not more shortcuts. A shared inbox on the API assigns each chat to one owner, logs who replied, and, in Raion HUB, the AI answers the price, location and booking questions from your own price list and documents, in whichever of EN, BM or Mandarin the customer wrote in, and labels the lead in the CRM before a human opens it. The 30 replies above are still the training manual; the tool just stops depending on someone remembering to type them.
How to set up quick replies on WhatsApp Business
If you have never opened the feature, it takes about 15 minutes to load the first ten.
How to Set Up WhatsApp Business Quick Replies in 5 Steps
Load the ten you use most first: price list, price range, Waze, hours, bank details, deposit, two booking slots, confirmation, and the "too expensive" reply. The other twenty can wait until you notice yourself typing them again.
The bottom line
Quick replies are the cheapest speed upgrade in the WhatsApp Business app, and most businesses use six of the 50 slots because nobody can remember the rest. A prefix that matches the customer's question fixes the memory problem, and a next step at the end of every reply fixes the "fast answer, then silence" problem. Once the answers are quick, the next leak is the message after the customer goes quiet, which is what our WhatsApp follow-up message templates are for. For how the pieces connect into one system, the complete WhatsApp automation guide for Malaysian businesses is the map.
Save ten quick replies today using the prefix system, with a BM version of the three your customers ask most, and end each one with a slot, a link or a reply the customer can act on in one tap. When your team starts asking each other who replied to a chat, the shortcuts have done their job and the next step is an inbox that assigns the conversation to one owner.
