A car salesman's WhatsApp follow-up gets a reply when it carries a number the buyer did not have yet: the monthly instalment, the trade-in value, the delivery date. This page is a library of 26 copy-paste samples in English and Bahasa Malaysia, sorted by stage: after the test drive, trade-in valuation, booking fee, loan documents, the waiting period, year-end registration, delivery day and the first service.

Search for a car salesman follow up message sample for WhatsApp and you mostly find scripts written for another market. A thank-you with a brochure on day one, a "limited time offer" on day three, a phone call on day five. Here is our position. Once someone has test-driven the car, the car is no longer the question. The numbers are. A buyer who goes quiet after a test drive is usually doing sums, and a brochure does not help with sums.

Key Takeaway

Follow up with a number, not a nudge. At every stage of a car sale the buyer is missing one figure: the monthly instalment after the test drive, the trade-in value before the booking, the missing document during the loan, the delivery month during the wait. The 26 samples below each carry that figure and end with one question the buyer can answer in a line. The weeks after the booking fee need more messages than the weeks before it, even when the message is "nothing has changed".

What should a car salesman's follow-up message say?

It should give the buyer their own number and ask one small question. A promotion is a number too, but it is everybody's number. The buyer who drove the car on Saturday wants to know what it costs them per month with their down payment and their old car traded in.

This matters more for cars than for almost anything else a person buys, because the sticker price is not what they pay. Banks advertise hire purchase with up to 90% margin of financing and tenures of up to nine years (CIMB Hire Purchase). The same car can land on very different monthly figures depending on two choices the buyer has not made yet. Until someone works that out for them, "still interested?" has no answer.

It also matches what we have seen across sales teams on WhatsApp. The outbound message that gets a reply brings something new for the reader, or feels like a personal consultation, and it never hard-sells. The message that dies asks the buyer to do the work.

Before the samples, two notes. Everything in [square brackets] is yours to replace. And reply in the language the buyer used first. The BM versions are written the way sales advisors actually type to customers, polite without being stiff.

Follow-up message samples after the test drive

The same-day message is the instalment, written down. If the lead still needs a test drive booked, that flow is covered in our guide to test drive bookings from ad lead to appointment. These samples start when the buyer hands back the key.

1. Same day, the monthly figure (EN)

Hi [Name], thanks for coming in to drive the [model] today. Here is the number we worked out together: [variant] at RM[price] on the road, RM[down payment] down, [7] years, about RM[X] a month. That is an estimate until the bank confirms the rate. Would it help to see the same car with RM[higher down payment] down, or over [9] years?

2. Same day, the monthly figure (BM)

3. Day 2, the hesitation answered (EN)

Hi [Name], yesterday you asked about [fuel consumption/boot space with the child seat in/whether your wife would be comfortable driving it]. I didn't want to guess, so I checked: [the answer, with a number]. If it helps, come by on Saturday and take it out again, 20 minutes. Morning or afternoon?

4. Day 3, two variants side by side (EN)

Hi [Name], you were deciding between the [variant A] and the [variant B]. Side by side: the difference is RM[X] on the road, which works out to about RM[Y] a month over [7] years. For that you get [two or three features]. Which of those would you use every week?

5. Closing the loop (EN)

Hi [Name], I don't want to keep messaging if the timing isn't right. Shall I close your file on the [model] for now, and only message you if the price, the promotion or the stock situation changes? A simple yes or no is fine.

6. Closing the loop (BM)

Hi [Nama], saya tak mahu ganggu kalau masa belum sesuai.

Sample 4 is where the day-three "limited time offer" usually goes, and we think the swap is worth making. A rebate tells the buyer the car is cheaper. It does not tell them which variant to pick, and an undecided buyer does not book. Sample 5 is the one advisors avoid sending. It gives the buyer an easy exit, which is also an easy way back in. A file closed with a reason is one you can reopen properly later, and that is the whole argument of dead leads have an expiry date.

Trade-in valuation samples

A trade-in question is a buyer asking for their real top-up. They go cold quickly when the answer takes days, as we covered in why trade-in enquiries go cold. Ask for everything in one message, then come back with a figure that has a date on it.

7. Asking for the details (EN)

Hi [Name], happy to value your [current car] so you know your real top-up. Send me these and I'll have a figure for you by [time]:
1. Photos: front, back, both sides, and the dashboard with the mileage showing
2. Year and variant
3. Service record, if you have it
Is the car fully paid, or still under financing?

8. Asking for the details (BM)

9. The valuation (EN)

Hi [Name], our used car team has gone through the photos. Trade-in value for your [year] [model]: RM[amount], subject to a physical inspection, valid until [date]. After settling your outstanding loan of about RM[X], RM[Y] goes towards the new [model] as down payment. Shall I redo the monthly figure with that included?

Booking fee samples

10. What happens next (EN)

Great, let's get your [model] booked. Here is what happens next, in order:
1. Booking fee of RM[amount] to [dealership name]: [bank details]. I'll send the official receipt the same day
2. Loan documents (the list is in my next message)
3. Bank approval, usually [X] working days once the file is complete
4. Stock allocation, registration, then delivery, estimated [month]
Colour confirmed as [colour]?

11. What happens next (BM)

Baik, kita teruskan tempahan [model]. Ini langkah seterusnya mengikut turutan:
3. Kelulusan bank, biasanya [X] hari bekerja selepas dokumen lengkap
4. Peruntukan stok, pendaftaran, kemudian serahan kereta, anggaran [bulan]
Warna disahkan [warna]?

12. Holding a unit (EN)

Hi [Name], a quick note: I've held the [colour] [variant] from the [month] allocation under your name until [day, time]. To keep it I need the booking fee and the signed order form by then. If something has changed on your side, tell me and I'll release it, no hard feelings.

Keep sample 12 honest. If no unit is being held, do not invent one. And do not treat the fee as a lock. The Tribunal for Consumer Claims has ordered a dealer to refund a customer's booking fee (The Star, 2022), and buyers know they can walk. What keeps a booked buyer is the next message, not the receipt.

Loan document follow-up samples

This is where a sale stalls without anyone noticing. For a salaried applicant, one bank's published list is a copy of the NRIC, a valid driving licence, the latest three months of salary slips, three to six months of account statements showing the salary credited, and the latest EPF or income tax statement (CIMB Hire Purchase). Banks differ, so confirm the list with your banker before you send it. The full argument for sending it on booking day is in car loan approved in two days, sale takes weeks.

13. The document list (EN)

Hi [Name], to submit your loan this week the bank needs these. Clear photos or PDFs sent right here are fine:
1. IC, front and back
2. Driving licence
3. Latest 3 months' payslips
4. Latest [3 to 6] months' bank statements (the account your salary goes into)
5. Latest EPF statement
Send what you have today and I'll tell you what's still missing. Which one will take you longest to get?

14. The document list (BM)

15. Chasing the one missing document (EN)

Hi [Name], the bank has everything except the [document]. Is that one waiting on someone else, like your HR or your accountant? If so, tell me who, and I'll draft a short request you can forward. Getting it in by [day] keeps your [month] delivery on track.

16. Loan status update (EN)

Loan update for your [model]: submitted to [bank] on [date], now with their [credit/verification] team. They may call you or your office to verify, so please pick up unknown numbers this week. Nothing else is needed from you. I'll message you the moment there is an answer, good news or not.

17. Loan approved (EN)

Good news, [Name]: [bank] has approved your loan. RM[amount] over [7] years, RM[X] a month. Next is the agreement signing, which takes about [20] minutes. Can you come in on [day] or [day]?

Sample 15 asks a question worth asking every time: is the missing document even the buyer's to produce? A third reminder does nothing if the paper is sitting on another person's desk. Sample 16 asks for nothing, and that is the point. A "nothing needed from you" message is the cheapest trust an advisor can buy.

Waiting-period update samples

The update goes out every week, including the weeks when nothing has moved. Buyers do not cancel because the wait is long. They cancel because it is silent, which is the case we made in why car buyers cancel after paying the deposit.

18. Weekly update, nothing changed (EN)

Friday update on your [model], [Name]: you are number [X] in our queue for the [colour] [variant], and the estimate is still [month]. Nothing has changed this week and nothing is needed from you. Next update: next Friday.

19. Weekly update, nothing changed (BM)

Makluman seterusnya: Jumaat depan.

20. The date has moved (EN)

Hi [Name], I'd rather tell you this before you have to ask: the [month] allocation for the [colour] [variant] has moved, and the new estimate is [new month]. The reason we were given is [reason]. Two options: keep your place for [colour], or switch to [other colour/variant], which I can deliver by [date]. Which would you prefer?

Should the buyer register the car in December or January?

It depends on how long they plan to keep the car, and the advisor's job is to lay out both sides with the numbers. A car registered in the last week of December carries that year on its registration card. A week later it reads as a year older than one registered in January, and used car listings are sorted by year. Against that, year-end packages are often at their most generous in December.

December is also when this conversation gets rushed. December 2025 was the highest month for new vehicle sales Malaysia has recorded, at 90,716 units (Paul Tan's Automotive News, citing MAA data). That is the month an advisor's chat list is fullest and follow-ups are most likely to be dropped.

90,716
new vehicles sold in Malaysia in December 2025, the highest month on record

Most year-end scripts push "register before 31 December" as the only option, because the advisor's target closes that day. A buyer who later finds out they had a choice will remember who did not mention it. Offer the choice yourself.

21. December or January (EN)

Hi [Name], your [model] is due to arrive around [date], so there is a choice to make and I'd like it to be yours:
1. Register in December: you get the year-end [rebate/package] worth RM[X] and drive it home for the holidays
2. Register in January: the registration card shows [next year], which helps when you sell or trade in later, but the December [rebate/package] may not carry over
If you plan to keep the car a long time, the registration year matters less. Which matters more to you?

22. December or January (BM)

Hi [Nama], [model] encik/puan dijangka sampai sekitar [tarikh], jadi ada satu pilihan dan saya nak encik/puan sendiri yang tentukan:

Delivery day and first service samples

23. Delivery appointment (EN)

Hi [Name], your [model] is registered and ready. Delivery is confirmed for [day, date], [time], at [showroom]. Waze: [link]. Plate number: [number]. Please bring your IC and [the balance of RM[X]/nothing else]. Set aside 45 minutes: I'll walk you through the features, pair your phone and check the car with you before you drive off. Who's coming with you?

24. Delivery appointment (BM)

Waze: [pautan]. Nombor plat: [nombor]. Sila bawa kad pengenalan dan [baki RM[X]/tiada bayaran lain]. Luangkan 45 minit: saya akan terangkan fungsi kereta, sambungkan telefon dan periksa kereta bersama sebelum encik/puan pandu balik. Siapa yang akan ikut sekali?

25. Three days after delivery (EN)

Hi [Name], three days in with the [model]. How is it so far? Two things new owners often ask me in the first week: [how to set up the phone connection] and [what a particular warning light means]. Anything like that on your side? Ask me here anytime.

The first service is the first follow-up after delivery that has a real reason behind it. Schedules differ by brand, so quote your own. As one example, the Proton S70 has a first service at 1,000 km, and keeping to the schedule at an authorised service centre is what keeps its five-year warranty valid (Paul Tan's Automotive News, 2026).

1,000 km

26. First service reminder (EN)

Hi [Name], your [model] is coming up to its first service, due at [1,000 km/1 month], whichever comes first. It takes about [1 hour]. I can book you in at [service centre] on [day] or [day]. What's the mileage showing now?

Frequently Asked Questions

Send the buyer their own monthly figure on the same day: the variant they drove, the on-the-road price, the down payment and tenure you discussed, and the estimated instalment. End with an offer to rework it one way, such as a higher down payment or a longer tenure. A thank-you with a brochure gives the buyer nothing they did not already have in the showroom.
Before the booking, three messages that each carry something new are enough: the monthly figure on the same day, the answered hesitation or a variant comparison within three days, then a closing-the-loop message that offers to stop. After the booking fee is paid the rule reverses. Send an update every week until delivery, even when nothing has changed.
Send the full list once, on the day of the booking, and ask which document will take longest. After that, chase only the one item that is still missing and ask whether it depends on another person, such as an HR officer or an accountant. A status message that asks for nothing, sent while the bank is processing, makes the next request easier to accept.
Use the language the buyer used in their first message and stay in it. Keep an English and a BM version of the messages you send most, such as the monthly figure, the document list and the delivery appointment, so nobody translates under pressure on a busy Saturday. Plain and polite works better than formal in both languages.
Yes, with one rule to know. Within 24 hours of the buyer's last message you can send free-form text. Once that window closes, a business on the API must use a template that Meta has approved. Weekly waiting updates, document lists and delivery appointments suit utility templates. On the free WhatsApp Business app there is no template step, and the samples can be saved as quick replies.

How do you run stage-based follow-ups across a whole sales floor?

You put the stage and the missing number on the lead, where the whole floor can see them, and attach one message to each stage. The wording above is the easy half. The hard half is knowing which of your 30 open files is waiting on a payslip, which one has a car landing next week, and which buyer has not heard from anyone since the booking.

Picture a nine-advisor dealership in Klang in the second week of December. Every advisor is chasing registrations before the 31st, so the buyers who booked in October for a February delivery get nothing. Those are the cancellations that show up in January. What we have seen in sales teams run from personal chat lists is that nobody ever decided what gets recorded, so everyone records in their own way and the manager cannot see any of it.

How to Follow Up With Car Buyers on WhatsApp in 6 Steps

List your deal stages: write down the stages a sale really passes through, from test drive to first service, and agree on them as a team
Save one message per stage: store the samples above as quick replies or approved templates, replace the [brackets], and keep an English and a BM version of the ones you send most
Record the stage on every lead: one field, updated the same day it changes, so anyone covering for you can see where the file stands
Write down the number the buyer is missing: the monthly figure, the trade-in value, the missing document or the delivery month, noted before your next customer walks in
Send that number with one question: every message carries a figure, a list or a date, and ends with something the buyer can answer in a line
Update booked buyers every week: pick a fixed day, send the waiting update to everyone between booking and delivery, and say so even when nothing has moved

A solo advisor can run all six steps with quick replies and a notebook. A sales floor usually cannot, because steps three and six depend on every advisor doing the same thing on the same day. In Raion HUB for car dealerships, the stage, the model, the estimated delivery month and the missing document are fields on the lead, on a pipeline board the whole team can see. A follow-up sequence starts when the lead is assigned to an advisor, with steps set days apart, and a step marked "only if no reply" holds while the buyer is still talking to you. The Friday update is a campaign: filter the board to booked buyers awaiting stock, select them all, and send one approved template with each buyer's own model and month filled in. Documents the buyer sends stay in the conversation on that lead, and the dashboard lists open leads nobody has touched in seven days. That list is your early warning for the buyers about to drift.

The bottom line

A follow-up is not a reminder that you exist. It is the next number in the deal, sent at the stage where the buyer needs it. Before the booking that is their instalment and their trade-in value. After it, that is a document list, a queue position and a date, and it is the stretch where your buyer wants to hear from you most. For the wider setup behind these messages, from lead capture to after-sales, see our guide to WhatsApp automation for car dealerships.

Key Takeaway

Save the samples for the stages your deals are in this week, with a BM version of the three you send most, and replace "still interested?" with the one number the buyer is missing. Send the monthly figure on the day of the test drive, send the document list on the day of the booking, and never let a booked buyer go a week without an update, even if the update is "nothing has changed". When December comes, offer the registration choice before the buyer has to ask for it.
